What is invoice tracker? It is a system that monitor your accounts receivable, tracking invoice balances and logging payments. It is also called invoice record keeping template or invoice register / management template.

All templates downloadable here on are invoice forms, but Uniform Invoice Software offers advanced invoice tracking and logging functionalities beyond what an Excel-based invoice tracking template could do.

  • Detailed payment logs. Each payment is logged with detailed information, including the invoice number, paid date, payment method (online payment, credit card or check etc.), reference#, and there is also a "Notes" field allowing you to record additional information about the payment.
  • Tracking invoices easily. Simply click the "Invoices" button, a list of all invoices and balances marked with different colors that indicate the status of each invoices (pending, paid, voided). You can also add / hide columns by clicking the "Columns" button on the toolbar, or filter the visible rows by using the search bar.
  • Accounts receivable at a glance. Clicking the "Customers" button to show a list of all customer accounts and their amount dues. Again if you have a large number of clients locating a particular one is easy with the search bar.
  • Customer Statement report. Specify the starting and ending date to generate statements for a client, which shows the history of invoices and payments.
  • Payment reports. Specify the date range to generate the payment history sheet.

Packing Slip Form was created by modifying the default sales invoice template that shipped with Uniform Invoice Software; you can still customize it to meet your business requirements and corporate style. It is easy to do with Microsoft Excel. For example, to change the background / pattern of a text label, you can just right-click the cell and then choose Format Cells, and then choose the background or pattern from the dialog box.

This template defines all the required fields of a valid invoice on the spreadsheet form, such as your own business information, "invoice#" and "invoice date", a "Bill To" section, payment term, tax and totals. There are also 2 special fields that don't appear on general invoices - "Requisition #" and "Work Order #". They are two custom fields defined in the "InvHdr" database table.

This is a service invoice template, featuring a "Bill To" section and a "Service Location" section that allow you to enter different billing address and the location to perform the HVAC service. In the detail section, there are two parts, just like the parts and labor invoice form. The parts and labor could have different tax rates. On the bottom of the form, the "TOTAL AMOUNT PAYABLE" field calculates the grand total from both the parts and labor sections using a simple Excel formula like this:

As a general and basic service invoice template, it could be used by many service businesses. There are many different types of service businesses. With Uniform Invoice Software version 5 (UIS), we use a new way (through Uniform Invoice Software Helper add-in macro) to capture and relay the clicks events occurred on the Excel form. By using this method, we are no longer relying on ActiveX buttons that were used since Excel Invoice Manager (August 1, 2005). Instead, all shapes objects in Excel that can have a macro assign to could be used as a button. The idea to remove the "Taxable" boxes is that for many business entities either all the invoiced items are taxable, or all are not taxable (or tax-exempt). In such situation showing the "Taxable" boxes on the printable form is not necessary and redundant, as the boxes occupy editable Description space on the form. With the removal of the "Taxable" options, we also modify the Excel formula assigned to the fields that calculates taxes. So in this version, taxes are calculated based "oknSubtotal", but not "oknLineTotalTaxable".

The spin button is used to add one or subtract one from a number. It is suitable for adjustment integral numbers in a small range. If your products are always sold in a whole part and thus don't use the decimal part in the "Quantity" field, a spin button could be applied. For example, in the invoice templates based on hours and rates, where the decimal part could appear on the number of hours, a spin button is not suitable. On the other hand, in a hotel receipt template where the number of guests is always an integral number that changes in a small range, a spin number is suitable for the situation.
