What is invoice tracker? It is a system that monitor your accounts receivable, tracking invoice balances and logging payments. It is also called invoice record keeping template or invoice register / management template.

All templates downloadable here on are invoice forms, but Invoice Manager for Excel (namely Uniform Invoice Software) offers advanced invoice tracking and logging functionalities beyond what an Excel-based invoice tracking template could do.

  • Detailed payment logs. Each payment is logged with detailed information, including the invoice number, paid date, payment method (online payment, credit card or check etc.), reference#, and there is also a "Notes" field allowing you to record additional information about the payment.
  • Tracking invoices easily. Simply click the "Invoices" button, a list of all invoices and balances marked with different colors that indicate the status of each invoices (pending, paid, voided). You can also add / hide columns by clicking the "Columns" button on the toolbar, or filter the visible rows by using the search bar.
  • Accounts receivable at a glance. Clicking the "Customers" button to show a list of all customer accounts and their amount dues. Again if you have a large number of clients locating a particular one is easy with the search bar.
  • Customer Statement report. Specify the starting and ending date to generate statements for a client, which shows the history of invoices and payments.
  • Payment reports. Specify the date range to generate the payment history sheet.

For example, to change the background / pattern of a text label, you can just right-click the cell and then choose Format Cells, and then choose the background or pattern from the dialog box.

The "Invoice" ribbon is created by Invoice Manager for Excel (namely Uniform Invoice Software) (UIS) - i.e. you have to install UIS in order to have Excel show the ribbon tab. This ribbon tab provides global commands, that are available to all the worksheets in the Excel spreadsheet template, such as "Customers", "Products", "Invoices", "Reports", "Settings" and "Help"; there are also shortcut to commands that affect the working mode the invoicing form, such as "Hide Task Pane", "Disable On-sheet Picker", "Design Mode", "Replace Logo Image", "Add / Update PayPal Button", etc.

However as your business grows fast, so your data do. Excel is not a tool designed to manage large amount of data in a safe and organized way. The tool designed for this purpose is a database system.   1. Backup your template. You can do so in Windows Explorer by copying the file.
  2. Open the template as usual.
  3. Switch to design mode by clicking the "Design Mode" button on the "Invoice" ribbon tab. This ribbon tab is created by our invoicing / billing software (UIS) is visible only when you open an invoice or receipt template (as the samples hosted here on It does not show when you open a general Excel spreadsheet / workbook file.
  4. Click the "Add / Update PayPal Button" on the ribbon.
  5. On the "PayPal Payments" dialog box, fill in your PayPal account email address.
  6. Set any other options / preferences as need. Click the "Add / Update PayPal Button" command near the bottom of the dialog box. This adds the default button to the Excel worksheet, with the standard button image provided by PayPal. Visit PayPal buttons, logos, and marks to find out more.
  7. Right-click on the image and choose "Change Picture" from the shortcut menu. The "Insert Pictures" dialog box appears.
  8. Click the "Browse" link on the "From a file" section, or search for online image using a search engine like Google or Bing. In this example, for the purpose of demonstration, we just use another standard image provided by PayPal.
  9. Note that when the picture is selected, Excel shows a "Picture Tools / Format" ribbon tab, where you can find tools like "Remove Background", "Corrections" (adjustment tools for sharpen, soften, brightness and contrast), color tools like "Color Saturation", "Color Tone" and "Recolor", a group of "Artistic Effects", and many more. By using these tools, you can easily change the appearance of the image / picture.
  10. Exit design mode by clicking the "Design Mode" button on Excel "Invoice" ribbon.
  11. Save the template by clicking the Save button on Excel quick access toolbar.

With this customized version of the standard business invoicing format, a new business image is also add to the top of the form. This is a background image, which is shown only on printed invoices and bills, or UIS-generated business invoices. This image shows a team of business people. The image / picture is adjusted to 35% opacity globally, and also has a gradient opacity from the top to bottom applied using Adobe Photoshop.

The next step is to replace the default "InvoicingTemplates" logo image. To do this, you need to switch the invoice form into design mode, which is done by clicking the "design mode" command on the Developer ribbon tab.
