How to Use

Assuming you have downloaded and installed Uniform Invoice Software:

  1. Download Engineering Invoice Template. Double-click the downloaded file to extract all files.
  2. Open the template "engineeringinvoicetemplate.xlsx" or "engineeringinvoicetemplate-uis.xlsx" with Microsoft Excel.
  3. Click "Design Mode" on the "Invoice" Excel ribbon tab to put it into design mode.
  4. Enter your business information and replace the default logo image to make it your own. (How?)
  5. Click "Design Mode" again to exit design mode.
  6. Create invoice (tutorial movie)!

This two-column engineering invoice template is suitable for project architects & engineers who offers service to customers and has the need to bill the customers. It is another sample on customizing the default sales invoice template shipped with Uniform Invoice Software.

Like most other invoice templates available here on InvoicingTemplate.com, the engineering invoice template has a "Print Area" name defined which refers to the area on the center of the spreadsheet form. This is the printable area that defines the actual invoice format and layout. If you click the Print button on the invoice form of the Uniform Invoice Software version, or click the "Print" command in Excel, only the section defined by the "Print Area" name will be printed. And similarly, if you execute "Extract" command in Uniform Invoice Software, only the section referred by the "Print Area" will be kept.

On the top-left corner of the engineering invoice form, there is a logo image. The default logo image is a placeholder image which you should replace it with your own.

The protection of the "Invoice" worksheet in Engineering Invoice Template prevents accidental modifications to layouts and formulas. If you have Uniform Invoice Software installed, it could even display a warning message when you close a template without protecting the worksheet. However for the purpose of this sample, we should firstly unprotect the worksheet in Engineering Invoice Template.

In design mode, Microsoft Excel allows you to move, add, or delete controls or images inside Engineering Invoice Template. Note that if you have our invoicing program installed, and you are running Excel 2007, Excel 2010 and Excel 2013, it already provides a Design Mode button on the ribbon tab, so that you don't have to switch to design mode manually. Our invoicing software is able to turn a simple spreadsheet into a powerful invoicing system, with the ability to manage customers, products, bills and payments, it also includes various tools that could help you configure the layout of your form, such as the number of taxes and tax names and rates. If you don't have our invoicing program installed, here are how you can switch to design mode manually.

  • In Excel 2003 click the Design Mode button on the Control Toolbox toolbar. Tip: If the Control Toolbox toolbar is invisible, click Excel menu View > Toolbars > Control Toolbox.
  • In Excel 2007, Excel 2010 and Excel 2013, click the Design Mode button in the Controls group of the Developer tab.

    TIP: If the Developer tab is not available in Excel 2007, do the following to display it: a) Click Microsoft Office Button, and then click Excel Options; b) In the Popular category, under Top options for working with Excel, select the Show Developer tab in the Ribbon check box, and then click OK.

    Or in Excel 2010 and Excel 2013 to display the Developer tab: a) Click File > Options > Customize Ribbon; b) In the area on the right, ensure that the box next to Developer is checked; c) When you click OK, the Developer tab will appear in the ribbon.

Once you have finished your design work for Engineering Invoice Template, click the Design Mode button again to exit design mode.

The architect/engineer invoice form / billing form, like all the other invoicing templates available here on InvoicingTemplate.com, is created based on the default sales invoice template that is included in the Uniform Invoice Software setup package. In order to create this invoicing template, we've added a number of new fields - they are called custom fields in Uniform Invoice Software. For example, the Job ID and Project Name, which are not present in the default sales invoice template, allow you to detail job and project information.

Uniform Invoice Software support custom fields or user-defined fields, which is a unique feature that allows you to add new fields to the backend database as well as to the spreadsheet form. Engineering Invoice Template uses custom fields to implement the features that are not available in the default template shipped with the invoicing program. With the support for custom fields in the database, Uniform Invoice Software has the ability to manipulate the newly added fields in database, includes adding them to reports. With the support for custom fields in the Excel worksheet, our invoicing app has the ability to create the relationship between fields - for example, one field should be the sum of the other fields, or the value of one field should be calculated only when another field value equals a certain value.

The support for custom fields makes it possible for even an end user who does not know programming at all, could add new features to her/his invoicing creator such as Engineering Invoice Template without writing one line of programming code. Sometimes our customization samples are offered in two editions here on InvoicingTemplate.com, that are one freeware edition, and another edition that works only with our invoicing software installed.

Note to users of the old versions of Uniform Invoice Software (i.e. Excel Invoice Manager) - although the support for custom fields was already implemented in Excel Invoice Manager, the use of custom fields was much more simplified in Uniform Invoice Software.

Note that custom fields is a powerful feature introduced by previous version of Uniform Invoice Software (UIS), i.e. Excel Invoice Manager. The support for custom fields in Excel Invoice Manager requires a database definition file ("FDINFO10.rst") to be present in the folder where the database file was installed. With UIS, using custom fields is much simpler than in Excel Invoice Manager, and the database definition file is no longer required.

The template has two columns - Description and Total. Both are manually editable fields on the Excel form.

On the bottom of the invoicing form, the section starting with the label "Payment" is designed for hand writing - it will not be included in the invoice that you'll send to your customer.

One thing that may not obvious from the screenshots below is that Engineering Invoice Template supports change order. In project management, a change order is a component of the change management process whereby changes in the Scope of Work agreed to by the Owner, Contractor and Architect/Engineer are implemented. A change order is work that is added to or deleted from the original scope of work of a contract, which alters the original contract amount and/or completion date. A change order may fork a new project to handle significant changes to the current project. Change orders are common to most projects, and very common with large projects. After the original scope (or contract) is formed, complete with the total price to be paid and the specific work to be completed, a client may decide that the original plans do not best represent his definition for the finished project. Accordingly, the client will suggest an alternate approach.

In order to implement the support for change order with this Engineering Invoice Template, InvoicingTemplate.com modified the Excel formula of the Total cell, so that it searches for the keyword "Change Order" on the description column, and if that keyword is present, the total will be the amount appears on the change order line; if the "Change Order" keyword isn't present, the total is calculated from the line totals.
