How to Use

Assuming you have downloaded and installed Uniform Invoice Software:

  1. Download Sales Invoicing Format for Germany. Double-click the downloaded file to extract all files.
  2. Open the template "sales-invoicing-format-germany.xlsx" or "sales-invoicing-format-germany-uis.xlsx" with Microsoft Excel.
  3. Click "Design Mode" on the "Invoice" Excel ribbon tab to put it into design mode.
  4. Enter your business information and replace the default logo image to make it your own. (How?)
  5. Click "Design Mode" again to exit design mode.
  6. Create invoice (tutorial movie)!

As one of the member countries of the EU (European Union), the rules on German VAT registrations, returns and compliance are based on European Union EU VAT Directives which German has transposed into its VAT Act. This free invoicing sample in Excel and PDF format follows the German VAT compliance rules. It charges MwSt VAT tax at 19% by default.

The German tax law is very formal and also the VAT invoice requirements are very strictly. The German rules are conform to the obligations of the EU VAT Directive and its VAT invoice requirements. Refer to German VAT invoice requirements and VAT invoicing rules for more information.

Foreign companies, or 鈥榥on-resident' traders, providing goods or services in Germany to local businesses or consumers may have to register their business for German VAT. They will then have to follow the German VAT compliance rules, including invoicing and VAT rates, as well as pay over any German VAT due. See "hould you register for German VAT" for more details.

Here on InvoicingTemplate.com we've already have a category of templates for VAT invoicing at VAT Invoice Templates, which lists the Excel forms that could be used to invoicing German-based clients, this template differs from the others in that all the text labels are translated into German. As detailed at 2016 European Union VAT rates, the standard Germany VAT rates is 19% for most goods and services, although a reduced rate could be applied for some foodstuffs; water supplies; medical equipment for disabled persons; some public transport; books; newspapers and periodicals; admission to cultural events; writers and composers; agricultural supplies; hotel accommodation; admission to sports events; social services; medical and dental care. This sample template set the default rate to 19%, and assuming all items on the form are taxable. In case you need to change the tax rate with Uniform Invoice Software, follow the steps below.

  1. Click the Settings button on the "Invoice" ribbon tab.
  2. Go to the "Taxes" tab.
  3. Enter the tax rate, such as 7% (reduced VAT rate) into the appropriate text box.
  4. Click "Apply". Uniform Invoice Software modifies the layout of the template according to your settings, including the formulas used to calculate the tax amount.
  5. Close the "Settings" dialog box.
  6. Save the template by clicking the "Save" button on Excel quick access toolbar.

This template shows no currency symbols. If you want to show the EURO symbols with certain cells, follow the steps below.

  1. Click the "Design Mode" button on the "Invoice" ribbon tab.
  2. Click the cell for which you want to change / set the euro currency symbol, or drag your mouse to select multiple cells.
  3. Right-click one of the selected cell, choose "Format Cells" from the shortcut menu.
  4. On the "Number" tab, choose "Accounting" or "Currency" from the "Category" list.
  5. From the "Symbol" list, choose euro "€".
  6. Exit design mode by clicking the "Design Mode" button again on the "Invoice" worksheet.
  7. Save the template by clicking the "Save" button on Excel quick access toolbar.

If you are not charging VAT (MwSt), you can hide the fields / cells completely by using this "Settings" box. In this case, you'll also need to add a declaration to the invoicing form,

It states that you're a Kleinunternehmer and that you don't charge VAT.
