Microsoft Access is a member of the Microsoft Office suite of applications, included in the Professional and higher editions or sold separately ( On Windows desktop the database file is stored in ".mdb" or ".accdb" format. However with Office 365, the Access data is stored in a SQL database. Invoice Manager for Excel (namely Uniform Invoice Software), by default uses local (desktop) Access database. Each invoice template published here on comes with an Access database with the template# as the database file name.

Invoice Manager for Excel (namely Uniform Invoice Software) itself uses Excel spreadsheet templates as the front-end. Access database is only used as a data storage. We don't lock the database so if you are a power user who want to customize the invoicing application deeply, you are free to do so on the database level too. For example, you can use Access queries, forms, reports, macros and modules.

  • First choose a column (or row) to place the possible values. This should be an empty (not-used) area outside the printable form. In this example, we choose the range on the right side of the shipping details section. The possible currency types are: US Dollar, Euro, Pound Sterling, Japanese Yen - you could enter more on the column, just make sure there is no blank (empty) cells between valid possible values.
  • Select the cell where you want the drop-down list - in this example, you select the currency field (the cell after the label "currency"). If you are running Excel 2007, Excel 2010 or Excel 2013, on the Data tab, in the Data Tools group, click Data Validation. If you are running Excel 2003, choose Excel menu Tools > Validation.
  • In the Allow box, click List.
  • To specify the location of the list of valid entries, do one of the following:
    • If the list is in the current worksheet, enter a reference to your list in the Source box or click in the Source box and then select your list in the current spreadsheet to populate the reference automatically.
    • If the list is on a different worksheet, enter the name that you defined for your list in the Source box.
  • Make sure that the In-cell dropdown check box is selected.
  • To specify whether the cell can be left blank, select or clear the Ignore blank check box.
  • Optionally, display an input message when the cell is clicked.
  • Specify how you want Excel to respond when invalid data is entered.

This blank consultancy bill format is created based on c4016 Consulting Invoice Template (1st Sample of Customization) in the consulting invoice template category here on The picture / image added as the background is firstly set to 35% opacity, and then have a gradient opacity effect applied using Adobe Photo Shop. The combination of these adjustments to the image makes sure the background is as clear as possible, and meanwhile it does not affect the readability of the foreground text such as the "Invoice#" and "Invoice Date" fields, and the fields in the "Bill To" section. This invoice template is for the companies or organizations who offer parenting services. As compared to the default/standard invoice template, the "Ship To" section is removed, and a new field, Date Of Birth, is added to the Bill To section, with witch you can record the birth date of a child. There are also a number of custom fields for the other customer-related information, such as Mother's Name, Mother's Profession, Mother's Mobile, etc., are added outside the Print_Area. This invoice template is based on the default invoice template shipped with Invoice Manager for Excel (namely Uniform Invoice Software), which is our desktop invoice software which runs offline (without the requirement of an online Internet connection). This template includes 36 lines on the invoice body section, and is printable with 2 pages of standard 8.5 X 11 inch letter paper. This invoicing format is a "Sales Invoice Template", as it contains the "Shipping Address" section, it also added 3 custom fields on the bottom of the form to calculate labor hours and expense. The template shows only one tax on the bottom of the form - to change this tax option / layout, go to Invoice Manager for Excel (namely Uniform Invoice Software) Settings window / Taxes tab and set your preferences easily.

Although there is only one column in the detail section, Invoice Manager for Excel (namely Uniform Invoice Software) works with this types of templates well. The secret is an option on the "Template" tab of the "Settings" window - "Allow incomplete lines on invoice body". By default, our Excel-based invoicing program applies a group of strict rules to make sure the data integrally of the invoice or receipt that is to be created - for example, each line should at least contain the "Item#" and "Line total" values. By enabling the "Allow incomplete lines on invoice body" option, this rule is disabled, allowing the program to save any data appear on the detail section.

Note that the "InvoicingTemplates" logo on the top of the invoice form is a placeholder, which you should replace with your own logo image. In order to do that, the invoice spreadsheet has to be switched to design mode.

Note that we've used several illustrations / shapes of Microsoft Excel to archive the beautiful invoicing form, such as the parallelogram with the big word "INVOICE" in it, the "flowchart: terminator" shapes surrounding the "BILL TO" and "SHIP TO" labels, and the circle shape object on the bottom of the sales invoice form.

  1. Backup the template before modifying it.
  2. Open it.
  3. Go to the "Invoice" ribbon tab and click the "Design Mode" button.
  4. Drag your mouse to select 3 custom fields, "oknCustomerCity" (cell address O8), "oknCustomerState" (cell address O9) and "oknCustomerZip" (cell address O10).
  5. Hit DEL key on keyboard to delete the formulas of these 3 cells.
  6. With the 3 cells / fields still selected, right-click on of the selected cell and choose "Format Cells" from the shortcut menu. This opens the "Format Cells" dialog box.
  7. Go to the "Protection" tab. Clear the "Locked" checkbox option.
  8. Click OK to close the "Format Cells" dialog box. This makes the 3 cells editable when the worksheet is protected.
  9. Now click and select the "City, State ZIP" cell in the "Bill To" section (cell address $F$11).
  10. Enter this formula for the cell: = CONCATENATE( TRIM ( oknCustomerCity ) , ", ", TRIM( oknCustomerState ), " ", TRIM ( oknCustomerZIP )). This formula combines the 3 user entered values into one readable and formal "City, State ZIP" value.
  11. Right-click selected cell ($F$11) and choose "Format Cells" from the shortcut menu.
  12. Go to the "Protection" tab.
  13. Check the "Locked" option box.
  14. Click OK to close the "Format Cells" dialog box. This make the cell not editable when the "Invoice" worksheet is protected.
  15. Exit design mode by clicking the "Design Mode" button again on Microsoft Excel ribbon tab.
  16. Save the template by clicking the Save button on Excel quick access toolbar.
