The most noticeable difference is that with this template we moved out the "Product#" column, leaving more space for the product description column.

In order to create this 6-column invoice layout, we need to adjust the existing 5-column invoice layout to leave space for the additional column.

Note that by default Invoice Manager for Excel (namely Uniform Invoice Software) supports a payment system that allows partial payments. When you click "Save Invoice" command, a new invoice number is generated (the auto numbering features works when the invoice# cell is left blank), and a "New Payment" window appears where you can enter information like payment date, total payment amount, payment type, reference document# and a general purpose "Notes" field. The total payment amount could less than, equals to or greater than the balance due of current invoices. If it is overpaid, the overpaid amount becomes credit under the customer client's account, which you can apply to existing or new invoices in the further; if the paid amount is less than the balance of current invoice, the invoice is keep its status "pending", which is added to the customer's account payable. One of the advantages of this approach is that the payment report is able to show you detailed payment information.

  1. Backup the template (as always).
  2. Switch to design mode by clicking the "Design Mode" button on the "Invoice" ribbon tab. All the template here on Invoicing Template are protected by default, but with no password set. The purpose of enabling protection is to prevent end users from altering the design of the template accidently.
  3. Select all the cells on the top line that we'll marge, in this case, $D$3:$N$3.
  4. On Excel "Home" ribbon tab, click "Merge and Center".
  5. Right-click the merged cell and choose "Format Cells".
  6. Switch to the "Fill" tab.
  7. Click "Fill Effects".
  8. From "Colors" section, choose "Two colors", make the "color 1" is white and "color 2" is blue.
  9. From "Shading Style" section choose "From corner".
  10. Click one of the fill effect from the "Variants" section.
  11. Click OK to close the "Fill Effects" dialog box.
  12. Click OK to close the "Format Cells" dialog box.
  13. "Your Hotel Name" is a placeholder for your hotel / business name. Before you can create your first invoice, you need to replace it with your business name.
  14. The "RECEIPT" title is now implemented as a text box. Compared to regular text on the spreadsheet form, adding text and label using text box gives you more options on formatting and placing text. Click to select the "RECEIPT" title, the "DRAWING TOOLS / Format" ribbon tab appears, where you have full control over the style and appearance of the text box. In this sample, we simply choose one of preset WordArt Style.
  15. Once you've done customization on the hotel receipt template, click "Design Mode" button again on the "Invoice" ribbon tab to exit design mode. This protect the "Invoice" worksheet and hide gridlines and row/column headings.
  16. Click the Save button on Excel quick access toolbar to save the template.

  1. As always before customizing a template you first need to back up it. To do this, simply copy the Excel template file in Windows Explorer.

    With Invoice Manager for Excel (namely Uniform Invoice Software) installed, it is recommended to run the template in protected mode (by clicking Excel ribbon Review tab, and then click the "Protect Sheet" command, or go to the "Invoice" ribbon tab and make sure "Design Mode" is not enabled).

  2. In this sample, we need to change the design of the template. So click the "Design Mode" button on the "Invoice" worksheet to unprotect the sheet, display gridlines and row/column headings.
  3. Go to Excel "Page Layout" ribbon tab, click the expand button in the "Page Setup" group. This opens the "Page Setup" dialog box.
  4. Go to the "Header / Footer" tab.
  5. Click "Custom Header", or "Custom Footer", depending on whether you want to lay out the image from top or bottom. In this sample, we choose "Custom Header".
  6. Choose a section to place the image - "left section", "center section" or "right section". In this case, we click and choose "Center section".
  7. Click the "Insert Picture" button on the toolbar.
  8. Browse to and pick up your picture or watermark image from locally store, or download it online.
  9. The section now has a "&[Picture]" placeholder symbol. Click to select it, and then click "Format Picture" command on the toolbar (the last one).
  10. The "Format Picture" dialog box appears. Here you can set the size, scale ratio, cropping, color (automatic, grayscale, black & white and washout), brightness and contrast of the image.
  11. Once you have set the options done, click the dialog boxes.
  12. Go to Excel menu File / Print, you can see that the background image on the printed invoices (see screenshot images below). The background image / watermark will also be included in PDF invoices.
  13. To finish your design job, click the "Design Mode" button on the "Invoice" ribbon tab. Click the Save button on Excel quick access toolbar to persevere the changes.
