How to Use

Assuming you have downloaded and installed Uniform Invoice Software:

  1. Download Spin Button to Add or Subtract One. Double-click the downloaded file to extract all files.
  2. Open the template "spin-button.xlsx" or "spin-button-uis.xlsx" with Microsoft Excel.
  3. Click "Design Mode" on the "Invoice" Excel ribbon tab to put it into design mode.
  4. Enter your business information and replace the default logo image to make it your own. (How?)
  5. Click "Design Mode" again to exit design mode.
  6. Create invoice (tutorial movie)!

Detail

With this sample invoice template we demonstrates how to spin button, which is one of the Microsoft Forms Controls. The spin button allows you add one or subtract one from a number.

This customized invoicing format is based on c4020 Invoice Template with Long Product Description, which describes how to reduce the number of lines on the detail section, so that each line can hold longer description text. Just like what you'll see from this example, our free templates are customizable. They are pure-Excel templates with no macro, and no password-protection.

The spin button we'll use here one of the control in the "Form Controls" toolset, which is available in all the major apps in the Microsoft Office product family, like Excel (".xls" or ".xlsx"), Word (".doc" or ".docx"), Visio, Publisher, PowerPoint. Here on InvoicingTemlate.com we've already published samples on using form controls. For example, the "Taxable" checkbox could be either implemented using ActiveX control, or a form control - in the standard invoice template shipped with Uniform Invoice Software setup program, it use checkbox in the form control category.

The difference between form controls and ActiveX controls is that, besides the appearance, they are in fact two completely different technologies. ActiveX controls are small piece of programs outside Excel (and Office), where form controls could be seen an integrated / built in component of Excel (and Office).

The spin button is used to add one or subtract one from a number. It is suitable for adjustment integral numbers in a small range. If your products are always sold in a whole part and thus don't use the decimal part in the "Quantity" field, a spin button could be applied. For example, in the invoice templates based on hours and rates, where the decimal part could appear on the number of hours, a spin button is not suitable. On the other hand, in a hotel receipt template where the number of guests is always an integral number that changes in a small range, a spin number is suitable for the situation.

Now let's see how we can add the spin buttons to "c4020 Invoice Template with Long Product Description".

  1. As always, backup your invoice template.
  2. Open the template.
  3. Push down "Design Mode" button on the "Invoice" ribbon tab.
  4. Switch to Excel "Developer" ribbon tab. If this tab is not available in your Excel, do the following to make it visible.
    • Right-click an empty area on Excel ribbon, choose "Customize the ribbon"
    • In the "Customize the ribbon" section, check the "Developer" option.
    • Click OK to confirm the change.
    • Now Excel shows the "Developer" ribbon.
  5. In the "Controls" ribbon group, pull down "Insert".
  6. In the "Form Controls" section, click "Spin Button" (the forth in the list).
  7. Now it returns to the worksheet. Click the location where you want to place the spin button to create it. If this case, we want to place it at the left side of the "Quantity" cell. You can move it by dragging and dropping.
  8. Drag the border of the spin button to resize it. Each single spin button has two click spots (an up arrow and an down arrow), it is recommended to make it as large as possible.
  9. Right-click on the newly inserted button, choose "Format Control". Excel shows the "Format Control" dialog box with the "Control" tab activated by default.
  10. Click the button on the "Cell link" section, specify to which cell this button will be linked. For our first spin button, the target cell is $I$20 (i.e. the first "Quantity" cell).
  11. With the spin button still selected, press "CTRL + C" on keyboard, and then "CTRL +V" to create a new button.
  12. Move the second new button to the second "Quantity" cell. Right-click on it and choose "Format Control", specify the linked cell for this second spin button to the second "Quantity" cell.
  13. Repeat the above steps to create spin buttons for the other 4 "Quantity" cells.
  14. Once you have done the customization, click the "Design Mode" button again to exit design mode.
  15. Save the template by clicking the "Save" button on Excel quick access toolbar.

Although it is not commonly used in our form designs, a spin button could add some interesting features to your invoice or receipt template, like what this example shows.
