How to use:

  1. Download the EXE package.
  2. Double-click to extract the files into a folder. Make sure you have full access privileges to the folder, such as a subfolder inside “My Documents”.
  3. Open the template.

This form demonstrates how to customize a template so that it is suitable for letterhead papers.

Related templates:

This example uses the Discount Amount Field (c4051) as the starting point (base template).

  1. Backup the template.
  2. Open it in Excel.
  3. Click the "Design Mode" button on the ribbon.
  4. Move the content that will be provided by the letterhead out of the printable area.

    In this example, we'll move the default logo image (the placeholder), company name (cell name: oknCompanyName), company address (cell name: oknCompanyAddress), company city state zip code (cell name: oknCompanyCityStateZip), and company contact (cell name: oknCompanyContact) out of the printable section.

    To move the default logo image, click on it to select it, and then drag it to move it. Or, if you want to delete the logo image completely, hit DEL on your keyboard.

    To move the company information labels (i.e., text cells, ranging from F2 to H14), drag your mouse to select these cells. And push your mouse key on the border of the selected area without releasing the mouse key, and drag it to the new location where you want to place the fields.

  5. Move the big label "INVOICE" and other heading fields to a proper place to leave space on the top of the form.
  6. Now adjust the height of the first line on the top of the printable form to make it equal to the height of the letterhead on your papers.

    One helper here is the ruler that shows when you switch to the "Page Layout" view. To do this, switch to the Excel "View" ribbon tab and push down the "Page Layout" button on the "Workbook Views" group.

    The page layout view shows a ruler that helps you determine the height of each row.

    Once done, switch to the normal view by pushing down the "Normal" button on the "Workbook Views" group.

    Another way to leave space on top of the form is to set margins. To do this, you first hide the empty row on the top (in this sample, row 2) by right-clicking the row header and then choosing "Hide" from the shortcut menu. And then go to the Excel "Page Layout" ribbon tab, choose "Margins" in the "Page Setup" group, and then choose "Custom Margins..." to set the margins based on the size of your letterhead.

  7. Once done, click the "Design Mode" button on the ribbon to exit design mode.
  8. Save the template.

In the real world, you may have to print several times and adjust the size of the margins (or the height of the top empty row) according to the print result. Once you have it correctly set, your invoices will not only look professional but also have brand recognition.
