How to Use

Assuming you have downloaded and installed Uniform Invoice Software:

  1. Download Netherland Sales Invoice Template 2. Double-click the downloaded file to extract all files.
  2. Open the template "netherlandsales2.xlsx" or "netherlandsales2-uis.xlsx" with Microsoft Excel.
  3. Click "Design Mode" on the "Invoice" Excel ribbon tab to put it into design mode.
  4. Enter your business information and replace the default logo image to make it your own. (How?)
  5. Click "Design Mode" again to exit design mode.
  6. Create invoice (tutorial movie)!

Detail

This is another variant and customization sample of Netherland Sales Invoicing Sample (c6009). The original design of the invoicing form include the "Maat" column. This sample demonstrates how to remove it from the invoice form.

By moving out the "Maat" column, this template is now more generic and thus suitable for more sales companies that need the shipping section on their invoicing form. If you are offering services and don't need the shipping address fields, refer to c5051 Netherland Service Invoicing Format 2. Note that this Netherland sales invoicing template is designed to offer only one tax on the form. As detailed at EU regulations concerning invoices, the following statements are required for VAT purposes:

  • date of issue;
  • a specific number;
  • where necessary, the VAT identification number of the taxable person and his customer;
  • full name and address of the taxable person and his customer;
  • description of the goods or services;
  • quantity of goods supplied or, if necessary, of services rendered;
  • date of supply of goods or rendering of services;
  • place of supply of goods or rendering of services;
  • taxable amount per rate;
  • VAT rate;
  • VAT amount payable;
  • total amount payable;
  • where an exemption is involved, reference to the provision which justifies the exemption.

This template adhere to the above requirement statements. In addition to the fields defined in the c6009 Netherland Sales Invoicing Sample, this VAT invoicing Format (Netherland Sales Billing Form 2) also defined a new field VatID in both the Customer and Invoice Header database tables, which is implemented as a custom field.

Uniform Invoice Software support custom fields or user-defined fields, which is a unique feature that allows you to add new fields to the backend database as well as to the spreadsheet form. Netherland Sales Invoice Template 2 uses custom fields to implement the features that are not available in the default template shipped with the invoicing program. With the support for custom fields in the database, Uniform Invoice Software has the ability to manipulate the newly added fields in database, includes adding them to reports. With the support for custom fields in the Excel worksheet, our invoicing app has the ability to create the relationship between fields - for example, one field should be the sum of the other fields, or the value of one field should be calculated only when another field value equals a certain value.

The support for custom fields makes it possible for even an end user who does not know programming at all, could add new features to her/his invoicing creator such as Netherland Sales Invoice Template 2 without writing one line of programming code. It's natural that different businesses need to detail their customer / client information on the different levels. For example, a retail shop may have to hide their customer information at all, including customer# and customer name etc.; on the other hand, a wholesale limited company or firm may need to add more details than what the default fields defined by Uniform Invoice Software.

Adding a custom field to the Customer table in the database makes it possible to save the field value to database along with the other data of a customer / client. For example, adding the custom field Company Name to the Customer database table allows you to save the company name of a customer to the database when you save a customer. If you use Uniform Invoice Software version template Netherland Sales Invoice Template 2 and add the custom field to the invoice form, the value is retrieved and filled into Netherland Sales Invoice Template 2 whenever you pick up a customer.

To add a custom field, let's say Customer VAT Registration No, to the Customer database table, here are the steps to follow.

  • Click the "Customers" button on the "Invoices" ribbon tab for Excel 2007, Excel 2010 and Excel 2013, or click the "Customers" button on the Invoice worksheet if you are running Excel 2003.
  • Click the "Custom Fields" button on the toolbar to open the Custom Field Manager dialog box.
  • Make sure the "Database Table" list shows "Customers", and then click "Add Field". The "Add New Custom Field" dialog box appears.
  • Enter VATRegNumber in the "Field Name" box, select "Text" as the "Type", Enter "50" into the "Size" box. Click OK to create the custom field.
  • Click "Close" to close the "Custom Field Manager" dialog box.
  • Now you have successfully create a custom field named VATRegNumber. To map this field to the Excel layout, use cell names. In this sample, the field VATRegNumber map to cell named oknVATRegNumber. That is, add the prefix "okn" to the field name.

Adding a custom field to the "InvHdr" table in the database makes it possible to save the field value to database along with the other data of an invoice record. For example, adding the custom field Company Name to the "InvHdr" database table allows you to save the company name of a customer to the database when you save an invoice. If you use Uniform Invoice Software version template Netherland Sales Invoice Template 2 and add the custom field, the value is saved from or retrieved to Netherland Sales Invoice Template 2 whenever you save or reload an invoice record.

When working with Uniform Invoice Software (UIS) version of Netherland Sales Invoice Template 2, how does UIS know to which cell when a field value write to when loading data from the database, and to which field a cell value must save when saving an invoice record, a customer or a product item? That is, how does UIS create the map or relationship between Excel cells on the template Netherland Sales Invoice Template 2 and database fields? The answer is by using names. For example, if the field name in the Product table in a database is "ProductType", it is writing to a cell named "oknProductType_?" (where ? is the line number of the invoicing item) when you pick up a product or item on creating an invoice, and when saving an invoice, all cells with the name "oknProductType_?" are saved to the "ProductType" field in the "InvBdy" database table. By using cell names, UIS allows you to move a cell on the form without breaking the feature depending on the field / cell. You can place the "Product Type" column either inside the printable area, which is printed when you issue the Print command in Excel or click the Print command on the "Invoice" worksheet form; or place the Product Type column outside the printable area, which will be included when you print or extract an invoice or receipt.

Note that custom fields is a powerful feature introduced by previous version of Uniform Invoice Software (UIS), i.e. Excel Invoice Manager. The support for custom fields in Excel Invoice Manager requires a database definition file ("FDINFO10.rst") to be present in the folder where the database file was installed. With UIS, using custom fields is much simpler than in Excel Invoice Manager, and the database definition file is no longer required.
