These formulas check if the product name (the "Description" column) cells are blank, and if not, the formulas retrieve the content of the "oknSalesRepName" cell and fill it into the current cell. "oknSalesRepName" cell is an manually editable cell that supports the on-sheet picker feature supported by Uniform Invoice Software. When creating an invoice (see tutorial), if you click to select "oknSalesRepName" (at $F$19 in this sample) cell, an on-sheet button appears. Click this button to choose a sales representative name from the list.
  7. Click the "Design Mode" button on the "Invoice" ribbon tab to exit design mode. The spreadsheet is now in design mode that allows you to modify the locked contents.
  8. Click the "Invoices" button on the "Invoice" ribbon tab.
  9. Click "Custom Fields".
  10. On the "Custom Field Manager" dialog box, choose "Invoice Body" from the "Database table" list.
  11. Click "Add Field".
  12. On the "Add New Custom Field" dialog box, enter the new field name "ItemSalesRep", leave" the "Type" field as the default value "Text". In the "Size" box, fill in the max text length 50. Click OK to create the new field.
  13. Click "Close" to close the "Custom Field Manager" dialog box.
  14. Now switch to the "Product" worksheet. By default, it has the following columns: Product ID (cell name: oknRpProductID), Date (cell name: oknRpInvoiceDate), Invoice # (cell name: oknRpInvoiceID), Description (cell name: oknRpProductName), Quantity (cell name: oknRpQuantity), Price (cell name: oknRpPrice), Line Total (cell name: oknRpLineTotal), Unit Cost (cell name: oknRpCost).
  15. Click to select the "Unit Cost" cell.
  16. On Excel "Home" ribbon tab, click "Format Painter".
  17. Click the cell next to "Unit Cost" on the Product worksheet. This copies the format of the "Unit Cost" cell this the new (empty) cell ($J$10).
  18. Enter the column heading into $J$10 - in this case, "Sales Rep".
  19. Name the cell "oknRpItemSalesRep". Note in this name, "oknRp" is the name prefix that is used in each name on the "Product" report worksheet; and "ItemSalesRep" is the column / field name in the database definition.
  20. Save the template by clicking the "Save" button on Excel quick access toolbar.

    • Currency: This field should specify the 3-letter currency code to use. The default currency is "USD". It is implemented as a drop-down selection list. Note that UIS does not convert currency automatically. So make sure this choice in this field matches the currency used on your invoices.
    • Amout: By default this field is "oknBalanceDue". This will be the balance of the invoice that is being created. On generating a PDF invoice, UIS replace this with the value of the "oknBalanceDue" cell.
  • Click "Test" to open a browser window to verify what you customers will see when they click he PayPal payment button on your invoices. In this test link, "oknInvoiceID" will be replaced with "INV100", the amount will show "123.00".
  • Click "Add / Update PayPal button" to add the PayPal button to your Excel invoice template.
  • The template is now switched to design mode with the new payment button selected. You can move it to a proper location by dragging and dropping, or resize it by dragging the border of the button image.
  • Once done, switch off design mode by clicking the "Design Mode" button again.
  • Save the template by clicking the Save button on Excel quick access toolbar.
