  1. First, open the original ".xls" formatted proforma invoice template in Excel 2010 (Excel 2007 and all the later versions support ".xlsx" spreadsheet format).
  2. Click Excel menu File / Save As. If you have Uniform Invoice Software installed, a warning message appears that says "If you save this workbook with a different file name, you must re-open it to ensure Uniform Invoice Software functions properly. Are you sure you want to continue? " Choose Yes.
  3. On the "Save As" dialog box, choose "Excel Workbook" from the "Save as type" drop-down list. Name the new template "proforma 1st sample", or something else you like.
  4. If you have Uniform Invoice Software installed, you may find that after executing Excel "Save As" command, all the buttons on the new template stop working. This is not a bug, bug by design - as stated above, you need to close and then reopen the template if you want to make the buttons work. But for the purpose of this sample, we'll skip this step.
  5. Now unprotect the Invoice worksheet. To do this in Excel 2010, go to the "Review" ribbon tab and click the Unprotect Sheet command.

    The protection of the "Invoice" worksheet in Proforma (1st Sample of Customization) prevents accidental modifications to layouts and formulas. If you have Uniform Invoice Software installed, it could even display a warning message when you close a template without protecting the worksheet. However for the purpose of this sample, we should firstly unprotect the worksheet in Proforma (1st Sample of Customization).

  6. The background color we used for the labels "SHIP TO", "BILL TO", "SHIPPING DETAILS" and the heading line of the invoice body, as well as the fore color of the big title "PRO FORMA INVOICE", is a custom color defined in Excel palette. You can find this color on many of the templates designed by us here on InvoicingTemplate.com - In fact, we use this color since 2005 - when we released Excel Invoice Manager for the first time. To make sure all of our templates have a similar style, this color has never been changed.

    However, to make your own invoice template, you may like to change it. Here is how you can do it (Again, we are using Excel 2010 in this tutorial.)

    • Open Proforma (1st Sample of Customization) as usual.
    • Click Excel menu File, and then click Options.
    • Click Save.
    • Next to Choose what colors will be seen in previous versions of Excel, click Colors.
    • Click the color that you want to change - for example, the fourth on the last line, and then click Modify.
    • Specify the new color. Click OK to close the Colors dialog box.
    • Click OK to close the Color dialog box. Click OK again to close the Excel Options dialog box.
  7. Once returned to the Invoice worksheet, you can find the new color applied to the invoice form. See the figures below to find an example.

  2. Open the template.
  3. Click the "Design Mode" button on the "Invoice" worksheet.
  4. Modify the text label "Ship To" (cell location $I$8) to "Service Summary".
  5. Drag your mouse to select all the fields (including labels) on the shipping address section, ranging from I9 to K14.
  6. Push your mouse key on the border of the selected area, move it to a new location outside the print area. In this sample, it is moved to T9:V14.

    Excel spreadsheets support a special name "Print_Area". If a worksheet has a name defined for a range, then when you issue the print command, only the range defined by this name will be printed. All templates available here on InvoicingTemplate.com have this name defined. If a cell / field is moved out of this area, then it will not be included on printing - we say it is not printable.

  7. Drag your mouse to select all the cells that belongs to the original shipping address fields, i.e. I9:K16.
  8. Click the "Merge and Center" command in the "Alignment" group on Excel "Home" ribbon tab. Push down "Top Align", "Align Left" and "Wrap Text" buttons.
  9. To make this section differs from other fields, you can assign it a border. In this sample, we used dashed borders.
  10. Assign this section a name, "oknSummary". To do this, enter the name "oknSummary" into the name box on the left-end of the formula bar.
  11. Unlock the "oknSummary" field. To do this, right-click the "oknSummary" range, choose Format Cells. On the Protection tab, clear the "Locked" property and then click OK. This is necessary in order to have the field manually editable / fillable when creating invoices.
  12. To create a data validation for this field, go to Excel "Data" ribbon tab. From the "Data Tools" group choose "Data Validation" and then "Data Validation" again. Choose "Text length" from the "Allow" list, enter 1 and 255 into the "Minimum" and "Maximum" field respectively. Click OK. If is an optional step - if you don't create this data validation, Uniform Invoice Software will do this type of checks automatically on saving invoices.
  13. Exit design mode by clicking the "Design Mode" button on the "Invoice" ribbon tab again.
  14. Click the "Invoices" button on the "Invoice" ribbon tab.
  15. Click "Custom Fields" to open the Custom Field Manager.
  16. Click "Add Field" to open the "Add New Custom Field" dialog box.
  17. Fill in the field name "Summary", and fill in size "255" (This is the max field size allowed in an Access database field).
  18. Click OK to close the dialog box.
  19. If you would like to have this field visible as a column on the "Invoices" data list window, click the "Columns" button on the "Invoices" data list window, and then check the "Summary" option.
  20. Save the customized simple invoice format by clicking the "Save" button on Excel quick access toolbar.

And, if the target location contains merged cells, sometimes the movement fails. So it is also helpful to make sure the target location does not contain merged cell. Such as with c4049 Simple Invoice Template - Moving Item# Column, we moved out the entire Item# column to create a new layout. Uniform Invoice Software is flexible enough to support this type customizations. By adjusting / customizing the formulas, it is also possible to define (or re-define) the relationship between cells.

  1. Backup the template that you want to customize. This allows you to start again if something goes wrong during the customization steps.
  2. Open the template.
  3. Switch to design mode by clicking the "Design Mode" button on the "Invoice" ribbon tab.
  4. Drag your mouse on all cells on the Quantity column to select the cells, ranging I21:I33. Drag on the border of the selected area and move to the new location of this column - in this sample, we choose the new location starting from X21.
  5. Do the same movement for the Unit Price column, from original address J21:J33 to the new location starting from Y21.
  6. Drag your mouse to select all the cells for the "Description" heading, including two empty cells on the same row next to the heading, ranging D21:J21. Click the "Merge and Center" button on Excel "Home" ribbon tab twice - the first click on the button unmerges the originally merged cells (i.e. the original "Description" heading), the second click on the button merges all the selected cells - this will be our new "Description" heading.
  7. Drag your mouse to select all the cells for the "oknProductName_1", including two empty cells on the same row next to "oknProductName_1", ranging from D22:J22. Click the "Merge and Center" button twice. Like the previous step, the first click unmerges originally merged cells, and the second click merges all the selected cells.
  8. Repeat the above step for all the other "oknProductName_?" cells ("?" - from 2 to 12).
  9. Drag to select all the "oknProductName_?" cells, ranging from D22 to J33. Click "Align Left" in the "Alignment" group on Excel "Home" ribbon tab.
  10. Drag mouse to select all line total cells, ranging K22:K33. Hit DEL key on keyboard to delete all the formulas assigned to these cells.
  11. Right-click one of the selected line total cells, choose Format Cells from the shortcut menu. On the Protection tab, clear the "Locked" property. This will make sure that when the worksheet is protected (i.e. when you are creating invoices), the line total cells are manually fillable / editable.
  12. Click the "Design Mode" button on the "Invoice" ribbon tab again to exit design mode.
  13. Click the Settings button on the "Invoice" ribbon tab.
  14. On the "Template" tab, check "Allow incomplete lines on invoice body" option. Click "Apply" and then "Close" to close the Settings dialog box.
  15. Save the template by clicking "Save" command on Excel quick access toolbar.
