How to Use

Assuming you have downloaded and installed Uniform Invoice Software:

  1. Download Jamaica Tax Invoice Template. Double-click the downloaded file to extract all files.
  2. Open the template "jamaicatax.xlsx" or "jamaicatax-uis.xlsx" with Microsoft Excel.
  3. Click "Design Mode" on the "Invoice" Excel ribbon tab to put it into design mode.
  4. Enter your business information and replace the default logo image to make it your own. (How?)
  5. Click "Design Mode" again to exit design mode.
  6. Create invoice (tutorial movie)!

Detail

According to Tax Administration Jamaica (TAJ), all Registered Taxpayers must issue a Tax Invoice to all other Registered Taxpayers to whom taxable goods or services are supplied. Here we provide you with a ready-to-use Excel template that could simplify the invoice creations.

Jamaica Tax Invoice Template adheres to the requirements detailed on Tax Administration Jamaica (TAJ). It implements the auto calculation of tax - GCT, i.e. General Consumption Tax. The GCT is a value added tax which is applied on the value added to goods and services at each stage in the production and distribution chain. It is a tax on consumption and is included in the final price the consumer pays for goods and services. As a Registered Taxpayer, you must issue a tax invoice for sale made to another Registered Taxpayer. In the case of sales to other persons, you should issue an invoice or a receipt for each transaction.

As TAJ required, all Registered Taxpayers must issue a Tax Invoice to all other Registered Taxpayers to whom taxable goods or services are supplied. The tax invoice, which should be pre-numbered, must show the:

  • Words "Tax Invoice" (shown prominently)
  • Date of the taxable supply
  • Serialized number of the tax invoice
  • Name, address and GCT registration number of the Registered Taxpayer issuing the invoice
  • Name and address of the Registered Taxpayer to whom the taxable supply is made
  • Quantity and description of the taxable supply
  • Amount of the consideration payable on the taxable amount
  • Rate of tax and the amount of tax payable
  • Total amount of the consideration and the GCT.

This template, Jamaica Tax Invoice Template, or Jamaica Tax Billing Format, was created with the above requirements in mind. In order to create this layout from the default template shipped with Uniform Invoice Software, we moved out the Product# (Item#) column from the detail section of the invoice form, and added a new column "Date Supplied", which is a custom field "DateSupplied" added to the "Invoice Body" database table.

Uniform Invoice Software support custom fields or user-defined fields, which is a unique feature that allows you to add new fields to the backend database as well as to the spreadsheet form. Jamaica Tax Invoice Template uses custom fields to implement the features that are not available in the default template shipped with the invoicing program. With the support for custom fields in the database, Uniform Invoice Software has the ability to manipulate the newly added fields in database, includes adding them to reports. With the support for custom fields in the Excel worksheet, our invoicing app has the ability to create the relationship between fields - for example, one field should be the sum of the other fields, or the value of one field should be calculated only when another field value equals a certain value.

The support for custom fields makes it possible for even an end user who does not know programming at all, could add new features to her/his invoicing creator such as Jamaica Tax Invoice Template without writing one line of programming code. When working with Uniform Invoice Software (UIS) version of Jamaica Tax Invoice Template, how does UIS know to which cell when a field value write to when loading data from the database, and to which field a cell value must save when saving an invoice record, a customer or a product item? That is, how does UIS create the map or relationship between Excel cells on the template Jamaica Tax Invoice Template and database fields? The answer is by using names. For example, if the field name in the Product table in a database is "ProductType", it is writing to a cell named "oknProductType_?" (where ? is the line number of the invoicing item) when you pick up a product or item on creating an invoice, and when saving an invoice, all cells with the name "oknProductType_?" are saved to the "ProductType" field in the "InvBdy" database table. By using cell names, UIS allows you to move a cell on the form without breaking the feature depending on the field / cell. You can place the "Product Type" column either inside the printable area, which is printed when you issue the Print command in Excel or click the Print command on the "Invoice" worksheet form; or place the Product Type column outside the printable area, which will be included when you print or extract an invoice or receipt.

To change the currency symbol of Jamaica Tax Invoice Template, first make sure you've unprotected Jamaica Tax Invoice Template spreadsheet. Select the cells (fields) for which you want to modify the currency symbol, by dragging your mouse to select multiple cells on Jamaica Tax Invoice Template, you push CTRL key on keyboard and click each cell on Jamaica Tax Invoice Template one by one, and then right-click one of the selected cell and choose Format Cells. From the Number tab, you can choose either "Currency" or "Accounting" from the Category list. Note that currency formats are used for general monetary values, you should use accounting formats to align decimal points in a column.
