This sample template includes an invoice form, a quotation form and a purchase order form. It demonstrates how to dynamically display product images and pictures on your invoices, quotes and purchase orders.
The word "dynamically" here means the images are changed automatically according to the invoice content. This differs from static images, such as the logo image, which does not change from invoice to invoice.
This template is based on c4020 Invoice Template with Long Product Description, because displaying images and pictures need a relatively big space for each line. While the original template contains only an invoice form, the new quotation form and purchase order form are easily added the new tools provided by Invoice Manager for Excel version 7.11. This template is also a sample in our invoice template images gallery.
Invoice Manager for Excel displays images and pictures, which could show your products or service scenarios, by using a new User-Defined Function (UDF) "
DisplayImage" provided by the program. The
DisplayImage UDF takes two arguments:
The first argument specify which image file to display. It could be a plain text value, or a cell that contains full path name of the image file. You can provide any image format supported by Excel, such "GIF", "PNG" and "JPG" etc.
The second argument specify where to display the image. It should be an Excel cell address, or the name of an range.
For example, on this sample invoice template, the formula for the first product line looks like this:
In this sample the first argument is an Excel formula
CONCATENATE($A$27,"\fruit\",F20,".jpg"). This tells Excel to combines four parts - "$A$27","\fruit\", the value from the cell "
F20" and "
.JPG" - to construct a full path name of an image. The cell $A$27 is the directory name of the invoice template, which is calculated using the following Excel formula.
For example, if the current invoice template is stored in the
c:\invoicingtemplate.com\ folder, and the value of
$F$20 is "
Kiwi", which is filled when you choose a product by clicking the on-sheet picker button, then the final image file name created with the "
CONCATENATE" formula is "
c:\invoicingtemplate.com\fruit\kiwi.jpg". You can change to any other image folder by modifying this formula.
The second part of the above sample is simply an Excel cell address. Once the image is successfully loaded, it will be displayed in the target cell with an Excel "
The result of the formula will show "
Loaded" if the image is successfully displayed, or an error message if failed.
The result image is automatically named with "
oknWidget_" prefix. As detailed in Customize Invoice Template / Extracting ActiveX controls and drawing objects, this prefix tells Invoice Manager for Excel to keep the image when it is extracted or emailed in PDF format.
